How to Save Time Creating Instagram Posts as a Busy CEO Mom


Let’s be real—when you’re running a business in the margins of motherhood, every second counts.

As a mom, I don’t have time to design Instagram posts from scratch every time (yes, even as a designer!). More often than not, I’m putting together posts from my phone while sitting at soccer practice or waiting in the carpool line.

If you’re also trying to keep up with content creation while juggling business, kids, and life, here’s how you can make the most of your time when posting to Instagram. These simple but effective strategies will help you stay consistent and professional—without the overwhelm.


1. Create Photo Albums for Easy Access

If you’ve ever scrolled through 27,892 photos of your baby eating avocado while trying to find a cover photo for your latest reel, this tip is for you.

Take a few minutes right now and create folders in your phone’s photo app for the visuals you use most often in your content. Some useful categories include:

  • Brand Photos – Professional brand photography or well-lit, on-brand images of you and your work

  • Logos & Graphics – Your business logo, watermark, and any graphic elements you frequently use

  • Reel Videos – Keep your video clips organized so you don’t have to dig for them later

  • Instagram Cover Photos – This keeps your highlights and feed looking cohesive

A little organization upfront will save you so much time every time you sit down to post.

2. Set Up Your Brand Kit in Canva

If you haven’t already set up your brand kit in Canva, this is your sign to do it ASAP. Having your colors, fonts, and logo preloaded means you can create on-brand content in seconds instead of starting from scratch every time.

👉 Pro Tip: There’s a hidden section under "Styles" in Canva when you’re designing a graphic. Click it, and it will instantly update the template to your brand colors and fonts. Game. Changer.

No more guessing hex codes or manually changing fonts—just click, update, and post.

3. Use a Few Core Canva Templates

Templates are a lifesaver when it comes to keeping your Instagram feed looking clean and cohesive without spending hours designing each post.

I personally stick to a few core templates for my content and then switch things up when I want to add variety—like a fun, personality-filled recap post.

4. Jot Down Every Content Idea (Before You Forget It)

And you will forget it.

Some of my best content ideas hit me at the most random times—in the grocery store, mid-conversation with John on date night, or while I’m driving. If I don’t write them down immediately, they’re gone forever.

That’s why I use Notion to keep track of my ideas as they come. It syncs between my phone and laptop, so I can jot things down on the go and revisit them later when I have time to create.
